    Watlington (WASPS) – Early Years Before/After-School Practitioner, Qualified (£10 per hour; 23.5 hours per week.

    Set in Watlington Primary School, our Watlington After-School Club – (WASPS for short) gives your little ones a safe, nurturing place to come before or after school during term time. Once here, we’ll take good care of them, giving them breakfast before their busy school day starts or helping them relax once the school bell has rung. Our dedicated after-school club team go out of their way to ensure there are smiles all round come home time with fun games, creative activities and free play. Mums and dads love us because they know their child is safely in school grounds until they can be collected. We are looking for a qualified Early Years Practitioner to join our before and after school club.

    Job Specification

    Job Title: Head of Billing
    Reports to: CFO
    Hours: 37.5 hours per week

    Job Purpose

    • To provide comprehensive and effective support to the CFO.
    • To supervise, lead and support a team of Billing Assistants.
    • To support and monitor the complete invoice process undertaken by the Billing Assistants.
    • To implement, monitor and review processes within the Billing Team
    • To oversee the NEF Funding and ensure Provider Agreements are followed.

    Duties and Responsibilities
    Responsibilities associated with this role include, but are not limited to the following:

    • Support and manage your staff team consistently and fairly, including operating an effective and
      regular supervision system
    • Provide training and support on use of Connect Management Software as required regarding Billing
      functions.
    • To provide lead support to the team on the monthly invoice processing and pre‐billing checks, ensuring
      that all processes are being adhered to and correct procedures are being followed
    • Implement and monitor the use of KPIs to ensure all billing related processes are operating effectively
    • To work with colleagues to ensure customer accounts are accurately managed, maintained and
      updated using Connect Childcare software, liaising with parents/nursery managers regarding any issues
    • Ensuring that our standard terms and conditions are being followed and, where exceptions are
      potentially required, ensuring that our team can deliver those / pushback as required
    • To follow up correspondence in relation to customer accounts and chasing debtors and provide lead
      support on debtor queries that arise / are unable to be resolved by the Billing Assistants, including
      actioning/liaising with debt collection agencies
    • Ensure the billing team deliver a quality service to customers and colleagues, dealing with queries and
      providing advice promptly and as required
    • To be lead support on Funding Loop and assist the Billing Team with queries. Help reconcile grant
      receipts from LAs with funding requests
    • To be familiar with the Local Authority Provider Agreements and highlight points to the Billing Team,
      liaising with the Local Authority and other professionals associated with Billing/Funding as required.
    • To monitor external funding claims, including childcare grant payment claims and other external
      payments submitted by the Billing Assistants
    • To obtain funding/claim information from the LA’s for the Group annually, and agree term
      dates/funding allocations. To load Grant Parameters onto the Connect Management System and
      communicate dates effectively to the relevant teams
    • To provide support to the CFO with Fee Increases and Terms and Conditions reviews
    • To be an effective member of the finance team, providing support month‐end, audit and other ad‐hoc
      queries and analysis as required

    Person Specification

    Skills and Experience:
    Essential:

    • Knowledge of nursery billing processes and competency in using nursery billing systems
    • Ability to deal with confidential and sensitive information
    • A high standard of IT proficiency and administrative skills – MS Office including Teams
    • Knowledge of nursery funding/invoicing
    • Previous experience of managing teams
    • Experience of dealing with parents and nursery managers

    Desired:

    • Experience of working within a finance / administrative function
    • Experience of using Connect Billing system
    • Experience of using Funding Loop
